Health, Safety & Environmental Bulletin No 037

                                           J Brown – 22 March 2007

                                                 Vehicle Condition

During recent audits of our company vans, it has been identified that some are being kept in an
unacceptable condition. It appears that vehicles have sustained damage, are untidy or are
inappropriately loaded. Responsibility for the state of the vehicle is often denied, and an explanation
           often lacking.

It is the crews responsibility to look after the company vehicle, ensuring that it is well maintained. You
are encouraged report any concerns that you have relating to your vehicle so that they can be dealt
with – this should be done using the weekly vehicle check list (F14.6.1). Please fill in all the required
information, as well as checking your van visually each day. Ensure you keep the van clean inside
and out, as you carry out your daily tasks.

If you are stood down for any reason, or are on site awaiting materials deliveries, this time should be
used to clean the van inside and out, organise the load, check the oil, tyres and water. If necessary
use the site facilities to check and correct the tyre pressure, and clean the vehicle.

Driving a vehicle with incorrectly inflated tyres or unstable/imbalanced load is dangerous and can
result in an accident, or three points on your licence.

                                                                                                   st
The cab interior must always be clean, dashboard polished, ashtrays emptied (from 1 July 2007
smoking will be banned in company vehicles) and the cab swept thoroughly. Any spillages should be
wiped up immediately. The same applies to the load space of the vehicle. We appreciate that you
carry scaffold towers, rigid barriers, tools, fixings and signware, but it is your responsibility to
prevent/avoid potential accidents that may be caused by poor housekeeping; correct organisation of
the load is very important to ensure that you can work safely and easily from the rear of the van.

The crew working from the van will be held responsible for any damage that has not been reported to
the office and a satisfactory explanation will be expected as to the cause of the damage.

Remember: Image is everything. You represent both us and our customer The first thing the customer
or the general public see is the vehicle that you drive, so if you take pride in your work, take pride in
your appearance and that includes that of your vehicle.

“let’s make sure that we continue to make our sites THE SAFEST by helping ourselves, our colleagues,
our customers and even our competitors by improving training, helping where necessary and
addressing any issues of concern there and then”
