Health, Safety & Environmental Bulletin No 072

                                           M Mott – 23 January 2008

                                                   Visitors Books

The Global Alliance has recently issued revised guidance to BP sites on signing in procedures.

The guidance highlights what the store manager should be looking for from any contractors that want
to work on their site. The main areas addressed are:

               • All contractors should sign in AND OUT of the visitors book.

               • All contractors should produce a valid safety passport.
The site manager is instructed to check the photo and the expiry date. Ensure you carry your
safety passport at all times and inform the office if the expiry date is within the next 3 months.

               • All contractors should have a method statement with them.
We have incorporated our method statements into JSA’s that are in your H&S manual.

               • All contractors should complete a clearance certificate, to include type, location and duration of
the works, equipment to be used, PPE to be worn and barriers to be used.

               • The site manager must explain any site specific hazards that may occur during the work (e.g.
tanker delivery or another contractor working on site). These hazards should be added to the
clearance certificate and appropriate control measures implemented.

               • The site manager and contractor must sign the clearance certificate.

None of the above is new, and should be standard practice on all filling stations.

A copy is attached of the note from BP and the latest version of the visitors book. This has columns for
the site to indicate that they have checked your safety passport and agreed the clearance certificate. It
also requires the site to sign you out by entering the time you leave site, please ensure this is completed.

“let’s make sure that we continue to make our sites THE SAFEST by helping ourselves, our colleagues,
our customers and even our competitors by improving training, helping where necessary and
addressing any issues of concern there and then”
